On this page you can read what happens to the details you leave when you request a free trial through qyveno.nl. In short: I only use them to set up your trial and to get in touch with you, they stay on my own server in Europe, and I do not sell them or share them with anyone. If you already use Qyveno, When you use Qyveno explains what happens to your account, and Support in the app explains what happens to what you send through Contact and feedback.

Who is responsible

Qyveno is a product of Franco Wiltink. I am responsible for the processing of your data. You can reach me at info@qyveno.nl.

Which data

Only what you fill in yourself in the sign-up form:

To prevent misuse of the form, the server briefly counts how often sign-ups come from an internet address (IP address). That count is kept only in the server's working memory and is gone after one day at the most; the IP address is not stored with your sign-up.

As with almost every website, the web server keeps a log of visits, with the IP address, the time and the page requested. I only use that to trace faults and misuse. These logs are deleted automatically after three months at the most.

I also count how many people visit this website, anonymously and without cookies. The IP address is not stored for this: together with the type of browser, the server turns it into a code that can no longer be traced back after a day, so that someone who views two pages on one day is counted once. Only totals per day are stored: how many visitors, which pages, where they came from (for example a search engine or a link) and what kind of device (phone, tablet or computer). This counting happens on my own server, without outside services.

What for

To set up your trial environment and to get in touch with you about Qyveno: sending your invitation, answering your questions and asking what could be better. Not for newsletters, advertising or anything else.

On what basis

You give your consent by submitting the form. You can withdraw that consent at any time with a short email; I will then delete your data.

How long

Until the test phase is over, or earlier if you ask me to delete your data. If you become a customer after the test phase, we will agree separately on what happens to your data.

Where

Your sign-up arrives in Qyveno itself, on my own server in Europe.

Two things go through STRATO (Germany), which works only on my instructions:

No other company receives your data. This website uses no cookies, no tracking and no outside services (not even third-party fonts or statistics).

When you use Qyveno

What your organization puts in Qyveno, such as boards, items, updates, files and conversations, belongs to your organization. Your organization is responsible for that; Qyveno only processes it on its instructions. What Qyveno may and may not do with it is set out in the data processing agreement. If you have a question about it, or want something about you to be changed or deleted, please ask your organization.

The same goes for what you fill in on your own profile: your photo, your phone numbers, your location, your birthday and the date you joined the company. That is voluntary. As long as you can log in, you can change it yourself or remove it in one go; removing it is still possible after your organization has cancelled. Your photo, your phone numbers and your location are visible to the members of your organization; your birthday only if you turn that on yourself, and then without the year; the date you joined is visible only to you and the administrators of your organization. If you are deactivated, colleagues no longer see this information; an administrator of your organization can then erase it for you. Before a photo is stored, Qyveno removes the location and the other data a camera puts in it. In backups, erased data can remain until the backup expires.

For your account itself I am responsible. That covers your name, your email address, your password (only as an encrypted hash, never readable), your language, whether you use two-step verification, when you logged in, and, for security, the IP address and the browser of your sessions (which you can see yourself in your profile under Sessions). This is needed to let you log in and to recognize misuse; the basis is the agreement with your organization and my legitimate interest in a secure service. I keep it as long as your account exists.

The app only uses cookies that are needed to work: one for your login session and, if you choose "remember this device" with two-step verification, a second one for 30 days. No cookies for tracking, statistics or advertising. Settings such as light or dark are stored by your own browser.

Emails from the app, such as invitations and notifications, go through STRATO's mail servers (see above). Which companies otherwise process data on Qyveno's instructions is listed in annex A of the data processing agreement.

Support in the app

What you send in Qyveno through the question mark › Contact and feedback, your message and the images you attach, reaches Qyveno together with your name, your email address and your organization. Colleagues and administrators of your organization do not see it. It is stored on the same own server in Europe and is kept while your question is open and for up to two years after it has been closed.

To help you faster, an AI assistant writes a draft reply: Claude by Anthropic (United States). For that, your subject, your message and your images are sent to Anthropic, not your name or your email address. I read every draft, adjust it where needed and send it myself; the AI never sends you anything by itself. Anthropic is a sub-processor for this. If you do not want that, tick "No AI draft for this question" on your question; it will then not go to the AI, and neither will your later replies.

When a new question comes in, I get a notification (by email or through Telegram) with only the number, the type and the name of your organization, not your message or your images.

Do not include data about your customers if that is not necessary. If they appear in a screenshot, make them unrecognizable or leave the image out.

Support access (only with permission)

If something gets stuck, the administrator of an organization can give Qyveno support temporary access to their own environment: a day, a week or a month. Without that permission Qyveno cannot get in. With access, support can look along and make changes to solve the problem, but can never delete the organization, change people or roles, see API keys or connections with passwords, or export data. The access ends automatically after the chosen period, and the administrator can end it earlier at any time. Looking along is only possible from Qyveno's own admin area, with two-step verification, and a session lasts 8 hours at the most. Everything is logged: who gave the access and until when, every time someone looked along from when until when, and every change, in the name of "Qyveno support". The administrators receive a notification at the start and at the end.

Kompaan, the assistant in the app

Kompaan is off by default. An organization that turns it on connects its own AI account at Anthropic or Microsoft. A question to Kompaan and the data it looks up for it (only what the person asking may see) then go to that account, under the agreement the organization itself has with that service. Qyveno does not use that AI itself.

One exception is a trial environment: a 14-day trial that I give to a test company. There, Kompaan runs on Qyveno's AI account at Anthropic (United States), with a fixed credit. A question to Kompaan and what it looks up in that trial environment then go to Anthropic; Anthropic is a sub-processor of Qyveno for this. In a trial, Kompaan can only read, and a trial environment contains made-up sample data: do not put real customer data in it yet.

GIFs in the app (optional)

In the conversation of a workspace, people can send GIFs through GIPHY, a service of Shutterstock (United States). This is off by default and only turns on if the administrator of an organization turns it on. When it is on, a user's browser connects directly to GIPHY when searching and when showing a GIF; GIPHY then sees the IP address, the browser and the search terms. Qyveno sends GIPHY no names, email addresses or messages, and does not store the GIFs themselves: a message only contains the link to the GIF at GIPHY. If the administrator turns it off again, the app no longer loads anything from GIPHY.

Your rights

You may view your data, have it corrected or have it deleted, and you can object to its use. To do so, send an email to info@qyveno.nl; you will get an answer within a month.

A complaint

If you are not satisfied with how I handle your data, please tell me first. You also have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
